Before you start
Keep the original PDF. Work from a copy when the document matters, and do not send private files or passwords through email support. Choose a tool only after you know the one change you want to make.
1. Choose the job, not the closest-looking button
Combine separate documents
Use this for a cover letter and résumé, or several approved report sections that should become one file.
Merge PDFFix page order
Use this when every page should stay, but the order is wrong. Write the intended order first for longer documents.
Reorder PDF PagesRemove pages
Use this when a draft page, internal appendix, or blank scan should not be shared. Check that at least one intended page remains.
Delete PDF PagesMake the file smaller
Use this when the recipient has a size limit. Compression can change image data, so inspect text, diagrams, and photos afterward.
Compress PDF2. Look for information that should not travel with the file
Before editing, quickly check page headers, footers, comments, scans, and appendices. A page that looks blank can still contain a page number, a footer, or a scanned note. If you remove pages, write down the page numbers you intend to keep or remove before you begin.
- Confirm the recipient needs every attachment, appendix, and scanned page.
- Check names, addresses, account details, internal notes, and draft markings.
- If the PDF includes a form, link, bookmark, or annotation, plan to open the finished copy and test it.
3. Review the downloaded copy before you send it
A successful download does not prove that the document is ready to share. Open the new PDF and inspect the parts changed by your workflow. This is especially useful after compression, reordering, or removing pages.
Pages
Check page count, order, and the first and last page.
Content
Open a page with text, a photo, and a diagram if present.
Interactions
Test one form field, link, bookmark, or annotation when relevant.
When the copy is ready
Use the reviewed download for sharing and keep the original until the recipient confirms it opens correctly. If something is missing or looks wrong, return to the original instead of trying to repair an already altered copy.
Questions this checklist answers
Should I compress before or after I combine PDFs?
Combine the final documents first when you need one file, then compress that completed copy if size is still a problem. Open the final download to review it.
Can I remove a page and recover it later?
The downloaded file is a new copy, but removed pages are not recoverable from that copy. Keep the original PDF until your workflow is complete.
Does this checklist replace a legal or privacy review?
No. It is a practical document check, not legal advice. Use your organisation's required approval process when a document contains regulated, confidential, or contractual information.
